
We’ve all experienced it. A casual, well-meaning comment during a coffee break somehow morphs into a full-blown rumor by Friday afternoon.
Informal communication is the lifeblood of any workplace. It builds trust, breaks down barriers, and uncovers ideas that a rigid board meeting never could. In fact, raw knowledge is the most valuable asset your business owns. But when that knowledge lacks a single source of truth, it quickly becomes a game of telephone—and accuracy is the first casualty.

So, how do we protect our company’s knowledge without policing every casual conversation?
- Define the “Official” Channels: Be transparent about what requires a formal record. Strategic pivots, policy updates, and critical feedback shouldn’t live in the grapevine. If it matters to everyone, it belongs in an official, accessible place.
- Bring Casual Insights into Formal Spaces: Managers don’t need to be overly formal, but they do need to be organized. When a brilliant idea or a major concern pops up in a casual text, it needs to be bridged over into the next scheduled 1-to-1 or team meeting.
- Fill the Silence: When leadership doesn’t communicate, human nature takes over and fills the gaps with assumptions. Over-communicating the facts is the easiest way to keep rumors at bay.
The goal isn’t to silence the casual chats, it’s just to make sure that when your team connects, they are working from the same accurate script.
